Modifying an alias file and map

You may wish to modify the alias file, modify aliases, members or users. To modify, follow these steps:

  1. Highlight the ``Alias Files and Maps'' category group and double click.

    This produces an entry called ``File''.

  2. Highlight the ``File'' entry and click on Modify.

    This produces the ``Modify Alias File or NIS MAP'' screen (see ``Adding an alias file and map'').

  3. Click on the Edit Alias File button.
This produces the ``Alias File'' screen. Note that you can only edit alias files.

Adding an alias

Two default aliases must be present for sendmail to function:


mailer-daemon
with the member ``postmaster''

postmaster
with the member ``root''
These do not have to be defined, but just have to exist in the alias files. RFC822 stipulates that the ``postmaster'' be aliased to a real user - someone who will be handling the mail problems. ``postmaster'' usually receives copies of error or bounced mail. When mail is bounced, the notification of failure is always shown as being from ``mailer-demon'' as ``postmaster'' (and in turn, as root), so that if the user actually replies to this failure notification, the reply will go somewhere.

To add other aliases, follow these steps:

  1. Within the ``Alias File'' screen, select the Aliases -> Add menu option.

    This produces the ``Add Alias'' screen.

  2. Within the ``Add Alias'' screen, type the name of the alias you wish to create in the top data entry field.

    Alias names cannot contain spaces (`` ''), colons (:) or comma (,) characters.

  3. Within the members section, type the name or names to be added (separated by spaces, if necessary) in the ``Enter names'' field.

  4. Click on the Add Name(s) button to enter the name or names into the member names list.

    The Select name button in the members section produces a ``Select Users'' screen, which contains a list of all users on the machine. The alias must have both a name and at least one member. Note that an alias must not have the same name as an entry already in the table.

    The Remove button removes a highlighted member from the member names list. The Edit button removes the highlighted member in the member names list and puts it back in the enter name field. There is also a standard search facility.

  5. Select a user, and click on OK to return to the ``Add Alias'' screen.

Modifying an alias

To modify an alias, within the ``Alias File'', select the Aliases -> Modify menu option.

This produces a ``Modify Alias aliasname'' screen, similar to ``Add Alias'' screen (see ``Adding an alias'').

Removing an alias

  1. Within the ``Alias File'', select the Aliases -> Remove menu option.

    This produces a dialog box asking ``Really remove alias ``aliasname''?''

  2. Click on OK to commit your change.

Adding a member

A member is a user subscribed to an alias. For example tarzan and jane may be members of the alias ``sales''. When a new person joins the group, they should be added as a member to an alias in order to receive group mail. To add a new member to an alias, follow these steps:

  1. Within the ``Alias File'' select the Members -> Add menu option.

    This produces the ``Add Member'' screen.

  2. Enter the member to be added in the first data entry field. Clicking on the Select name button produces a ``Select Users'' screen (see ``Adding an alias''). Note that it is mandatory to enter a member in the field.

Removing a member

To remove a member from an alias, follow these steps:

  1. Within the ``Alias File'' screen, select the Members -> Remove menu option.

    This prompts a ``Really remove member ``membername''?'' message.

  2. Click on OK to confirm.
Note that you cannot remove the last member of an alias. Instead, you must delete the alias. See ``Removing an alias'' for more details.

Subscribing users to aliases

When a new user account is enabled, you may want to subscribe the user to an alias. To subscribe a user, follow these steps:

  1. To add a user to one or more existing aliases in the file, select the Users -> Subscribe menu option within the ``Alias File'' screen.

    This produces the ``Select User(s)'' screen.

  2. You can enter a user or click the Select button. This takes you to a ``Select Users'' list screen. Select one and click the OK button. This takes you back to the ``Select User(s)'' screen.

  3. Once you have a user in the top field, click OK and this takes you to a ``Subscribe user username'' screen.

  4. To add aliases for the user, select the appropriate system alias in the ``System alias'' field, then click on the ADD button. (To remove it, select it in the ``Alias aliasname subscribes to'' field, and click on REMOVE.) Alternatively double click on the product in the ``System alias'' field to add it; double click on the alias subscribed in the ``Alias aliasname subscribes to'' field to remove it.

  5. Click on OK to confirm and return to the alias file.

Retiring users

When a user's account is retired, you may wish to re-direct their mail to another person, such as their manager, and remove them from all other aliases in the file. To retire a user, follow these steps:

  1. Within the ``Alias File'' screen, select the Users -> Retire menu option.

    This produces the ``Select User(s)'' screen.

  2. You can enter a user's name or click the Select button to produce the ``Select Users'' list screen and click OK to confirm selection.

  3. Click on OK.

    This produces a ``Remove User username'' screen to remove the user from all aliases in the file.

  4. Click the ``Redirect mail for username to'' button if the mail is to be redirected. Once enabled, you must specify a mail redirection address.

  5. Click OK and control returns to the alias file.
To exit from the ``Alias File'' screen:

  1. Select the Aliases -> Save menu option to save changes.

  2. Select the Aliases -> Exit menu option to quit.

    This returns you to the ``Modify Alias File or NIS MAP'' screen.

  3. Click on OK to return to the main screen.
